About the position

The Executive Administrative Assistant / Office Secretary will provide comprehensive administrative support to executives at Bank of America Financial Center, ensuring the smooth operation of daily activities in a remote setting. This role requires exceptional organizational skills, attention to detail, and the ability to multitask effectively to support executive operations.

Responsibilities

  • Manage executive calendars, schedule appointments, and coordinate meetings, ensuring all necessary materials are prepared in advance.
  • Draft, review, and edit correspondence, reports, and presentations, maintaining a high standard of professionalism.
  • Assist in the organization and execution of special projects and company events as needed.
  • Respond to inquiries and communicate with various internal and external stakeholders on behalf of the executives.
  • Maintain a well-organized filing system for documents and facilitate easy access to information.
  • Support the preparation of reports, presentations, and other documents with accurate data entry and formatting.
  • Track deadlines and follow up on action items to ensure timely completion of tasks.

Requirements

  • High school diploma or equivalent; an associate degree or higher in business administration or a related field is preferred.
  • Proven experience as an executive assistant, administrative assistant, or in a similar role.
  • Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities.
  • Strong written and verbal communication skills, with proficiency in drafting professional correspondence.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office management software.
  • Ability to work independently in a remote setting while maintaining accountability and professionalism.
  • Discretion and confidentiality in handling sensitive information.
