About the position

We are seeking an experienced Executive Administrative Assistant / Protocol Lead to provide full-time in-person support to the Vice President of International Government Affairs in our Crystal City, Arlington, VA location. This role is critical in managing the Vice President's calendar, ensuring that time is allocated effectively to the most important activities. The successful candidate will prepare and reconcile expense reports, coordinate travel arrangements for both domestic and international trips, and handle sensitive information with the utmost confidentiality. The Executive Administrative Assistant will work independently, exercising considerable discretion, tact, and independent judgment while managing activities for the Vice President. This includes planning and executing customer visits, meetings, company events, and conferences, ensuring that all logistics are well-coordinated and adhere to protocol standards. The role also involves managing protocol elements associated with meetings, particularly with international customers, diplomats, and embassy personnel. In addition to these responsibilities, the candidate will be expected to maintain a professional interface with colleagues, employees, leaders, and customers, manage logistical requirements for senior leaders visiting Lockheed Martin sites, and demonstrate initiative and discretion in managing communications. The position requires multitasking abilities to handle various administrative tasks and ad-hoc projects as needed. The candidate must be able to provide full-time in-person support in our Crystal City, Arlington, VA location as required.

Responsibilities

  • Manage complex calendar engagements for the Vice President of International Government Affairs.
  • Prepare and reconcile expense reports and coordinate travel arrangements for domestic and international travel.
  • Handle sensitive information with the highest level of confidentiality.
  • Work independently and exercise considerable discretion, tact, and independent judgment.
  • Help plan and execute customer visits, meetings, company events, and conferences, ensuring all logistics are well coordinated and adhere to protocol standards.
  • Manage protocol elements associated with meetings with international customers, diplomats, and embassy personnel.
  • Exhibit a professional interface with colleagues, employees, leaders, and customers.
  • Manage logistical requirements for senior leaders visiting Lockheed Martin sites.
  • Demonstrate initiative, discretion, and tact in managing email, telephone calls, and other requests.
  • Assure administrative detail on all projects and update delegated tasks to ensure progress to deadlines.
  • Multitask effectively to handle various administrative tasks and ad-hoc projects as required.

Requirements

  • 3+ years of demonstrated extensive experience providing executive administrative assistant support to VP level clients.
  • Strong written and verbal communication skills.
  • Demonstrated proficiency in preparing reports, documents, and presentations for executives.
  • Sound decision-making and prioritization ability, with the ability to problem-solve complex issues.
  • Ability to work independently and collaborate in a dynamic, changing environment.
  • Excellent organizational skills and attention to detail.
  • Excellent calendar management skills including the ability to coordinate complex executive meetings.
  • Proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and Teams; LM Travel and Expense Reporting system.
  • Discretion while handling sensitive information with the ability to maintain confidentiality.
  • Demonstrated ability to act with diplomacy and professionalism with customers, colleagues, and leaders.
  • Ability to handle a variety of assignments at one time and complete assignments accurately and on time.
  • Ability to travel when required.

  • Knowledge of Lockheed Martin's BAs, functions, procedures, and operations.
  • Demonstrated ability to support team in protocol, procedures, and support benefitting senior internal and external governmental stakeholders.
  • Working knowledge of Lockheed Martin policies and procedures.
