The Executive Administrative Assistant/Site Coordinator will play a crucial role in the pre-opening team for the Omni Fort Lauderdale Hotel, set to open in Fall 2025. This position supports the General Manager, Director of Sales & Marketing, and the Executive Committee by performing a variety of administrative tasks, managing schedules, coordinating guest relations, and ensuring smooth operations during the hotel's launch. The ideal candidate will be detail-oriented, efficient, and capable of multitasking in a fast-paced environment.

  • Support the General Manager, Director of Sales & Marketing, and Executive Committee with administrative tasks.
  • Distribute daily/weekly/monthly reports and correspondence to corporate office and ownership.
  • Handle confidential material and information, including daily distribution of mail and check deposits.
  • Obtain signatures for internal and external routing of check requests and expense reports.
  • Manage schedules for the Executive Committee and ensure timely communication of messages and appointments.
  • Oversee day-to-day guest relations and corporate guest correspondence.
  • Maintain guest relations files and manage gift certificates and donation requests.
  • Coordinate travel arrangements for VIPs and corporate visits.
  • Assist with Birchstreet PO Ordering and manage costs for A&S and A&G.
  • Maintain hotel licenses, permits, contracts, and certificates of insurance.
  • Coordinate and execute site inspections and partner with sales managers for site visits.
  • Plan Familiarization Tours (FAM) and in-market customer events.
  • Inspect guest rooms/event space prior to client arrival for quality assurance.
  • Associate or advanced degree in business or hospitality preferred.
  • Previous hotel sales administrative experience preferred.
  • Strong organizational skills and attention to detail.
  • Ability to maintain strict confidentiality and manage multiple priorities.
  • Professional business appearance and attitude.
  • Excellent written and oral communication skills.
  • Proficient in Microsoft Office (Excel, Word, PowerPoint, Outlook).
  • Ability to work independently with minimal supervision.
  • Willingness to learn and build upon existing skills.
  • Experience in hospitality or hotel management.
  • Familiarity with local attractions and events.
