About the position

The Executive Administrative Assistant to the CEO plays a crucial role in providing comprehensive administrative support to the President of the company. This position involves managing the President's calendar, coordinating meetings, handling communication, and performing various tasks to ensure the efficient operation of the executive office. The ideal candidate is highly organized, proactive, and capable of handling confidential information with discretion. The role requires a self-starter who is driven to provide world-class service to clients, colleagues, and the community. The Executive Administrative Assistant will be responsible for managing schedules, preparing materials for meetings, and serving as the primary point of contact between the President and internal/external stakeholders. This position is essential for maintaining smooth communication within the executive team and across the organization. In addition to administrative support, the Executive Administrative Assistant will coordinate events, manage logistics for meetings, and assist with office relocations. The role requires excellent organizational and time-management skills, as well as strong written and verbal communication abilities. The candidate must be able to work independently and as part of a team, demonstrating a high level of professionalism and integrity. The position is based in Fullerton, CA, and offers a full-time schedule from Monday to Friday, with an hourly pay range of $30 to $35. Responsibilities

  • Manage the President's calendar, including scheduling appointments, meetings, and travel arrangements.
  • Coordinate and prepare materials for meetings, conferences, and presentations.
  • Handle incoming and outgoing correspondence, including emails, phone calls, and mail.
  • Prepare and edit reports, memos, and other documents.
  • Serve as the primary point of contact between the President and internal/external stakeholders.
  • Draft and manage communications on behalf of the President.
  • Facilitate smooth communication within the executive team and across the organization.
  • Book venues for meetings/events/customer dinners and handle menu selections, venue contracts, food & beverage minimums and any AV/technology needs.
  • Organize and coordinate executive meetings, including preparing agendas, taking minutes, and following up on action items.
  • Assist with anticipated office move/relocation including vendor management, space planning, logistics oversight, scheduling, packing, and transportation.

Requirements

  • Bachelor's degree in Business Administration, Communications, or a related field.
  • 10 years proven experience as an Executive Administrative Assistant or similar role.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • Ability to work independently and as part of a team.
  • High level of professionalism and integrity.

Nice-to-haves

  • Experience planning large corporate events.
  • Skilled in project management with great communication skills as well as negotiation and budgeting capabilities.
