About the position

The Executive Administrative Assistant to the Assistant Superintendent of Business and Technology Services provides comprehensive administrative support, ensuring efficient operation of departmental functions and coordination of various projects. This role involves managing confidential information, preparing reports, and facilitating communication within the department and with external stakeholders.

Responsibilities

  • Compiles data from various sources for preparing reports and recommendations.
  • Coordinates projects, functions, and program components to ensure timely delivery of services.
  • Maintains manual and electronic document files and records in compliance with guidelines.
  • Monitors activities on behalf of the assigned administrator to meet goals and deadlines.
  • Oversees office work activities to ensure completion within established guidelines.
  • Participates in meetings and workshops, recording minutes and supporting attendees' needs.
  • Prepares reports, documents, and correspondence of both confidential and non-confidential nature.
  • Presents information on administrative procedures to orient new personnel.
  • Processes various documents and materials in compliance with guidelines.
  • Procures supplies and materials to maintain availability of required items.
  • Reconciles account balances for assigned budget categories.
  • Represents the assigned administrator in their absence to convey and gather information.
  • Researches topics to provide information and recommendations for administrative requirements.
  • Responds to inquiries from internal and external parties to facilitate communication.
  • Schedules activities such as appointments and meetings for the assigned administrator.
  • Supports assigned administrative personnel in their functions and responsibilities.

Requirements

  • Job-related experience with increasing levels of responsibility is required.
  • Skills in operating standard office equipment and using job-related software applications.
  • Knowledge of accounting/bookkeeping principles and business telephone etiquette.
  • Ability to schedule activities, gather data, and use job-related equipment.

Nice-to-haves

  • Experience in an educational environment is preferred.
  • Familiarity with budget management and financial reporting.
