About the position

The Executive Administrative Assistant will provide high-level administrative support to the President of Commercial Cooling Par Engineering, Inc., ensuring efficient operations and effective communication within the organization. This role requires a strong background in administrative support, particularly in human resources, safety, and compliance, and demands a proactive and detail-oriented individual capable of managing sensitive information with discretion.

Responsibilities

  • Manage the President's calendar, including scheduling meetings.
  • Draft, edit, and distribute correspondence and reports on behalf of the President.
  • Fill in for team members in various administrative roles during absences, ensuring continuity of operations.
  • Collaborate with different departments to support HR and safety initiatives.
  • Assist with HR functions such as recruitment, onboarding, employee records management, and performance evaluations.
  • Help coordinate employee training and development programs.
  • Support the implementation and monitoring of safety programs and initiatives.
  • Organize safety training sessions and maintain accurate safety records and documentation.
  • Stay informed about relevant laws and regulations, ensuring company practices align with legal requirements.
  • Assist in preparing and maintaining compliance documentation and reporting.
  • Act as a point of contact for employees regarding HR, safety, and compliance inquiries, providing guidance as needed.
  • Facilitate communication between the President and various departments to ensure alignment on initiatives.
  • Support special projects as directed by the President, ensuring timely execution and adherence to objectives.
  • Conduct research and gather information to assist in strategic planning and decision-making.
  • Handle sensitive information with the utmost confidentiality and professionalism.

Requirements

  • Bachelor's degree in Business Administration
  • Proven experience in administrative support roles, with a strong focus on HR, safety, or compliance.
  • Excellent organizational and multitasking skills, with a keen attention to detail.
  • Strong written and verbal communication skills, with the ability to interact professionally at all levels.
  • Proficient in Microsoft Office Suite and HR management software.
  • Minimum 7 years' experience in a manufacturing environment.
