About the position

As the executive administrative assistant to the president at the Federal Reserve Bank of Kansas City, you will be the primary point of contact for internal and external stakeholders. This role involves closely collaborating with the president and other executive team members to manage relationships, coordinate outreach, and support strategic initiatives. You will play a crucial role in ensuring the president's schedule is organized and that all engagements are handled with professionalism and confidentiality.

Responsibilities

  • Anticipate the president's needs and ensure they are on schedule throughout the day.
  • Collaborate with the Chief of Staff to manage requests for presidential engagements.
  • Research and recommend networking opportunities based on existing relationships and trends.
  • Serve as the point of contact for high-priority business meetings and relationships.
  • Manage the president's calendar, including scheduling meetings, appointments, and events.
  • Utilize relationship management software to track contacts and interactions.
  • Manage the president's email inbox and keep them informed of important deadlines.
  • Communicate with all levels of Bank staff and external stakeholders, including high-ranking officials.
  • Liaise with external connections to gather meeting logistics and attendee information.
  • Plan and coordinate meetings for external participants, both onsite and virtually.
  • Troubleshoot and resolve issues during events as needed.
  • Coordinate travel arrangements, including airline reservations and accommodations.
  • Prepare travel itineraries and process travel reimbursements.
  • Compose and edit correspondence, reports, and presentation materials on behalf of the president.
  • Proofread documents for proper style and formatting, recommending revisions as necessary.

Requirements

  • At least 3 years of relevant experience in an administrative role.
  • High school education or GED is required.
  • Strong understanding of business processes and subject matter.
