About the position

The Office of the Vice President for Regional Campuses and Online Education (RCOE) at Indiana University plays a crucial role in providing accessible and affordable education to students across the state and beyond. This position serves as the first point of contact for the IU Indianapolis office, engaging with guests, visitors, IU staff, and external partners for meetings and events. The individual will manage scheduling and logistics for the Vice President of Regional Campuses and Online Education (VPRCOE), which includes handling calendaring, locations, and hospitality items. Administrative duties are also a significant part of the role, encompassing tasks such as managing office supplies, filing, financial documentation, and general office organization. In addition to these responsibilities, the position supports various projects within the office and multi-campus initiatives. The individual will act as a liaison between the VPRCOE and regional campuses, coordinating meeting logistics, room reservations, and hospitality requests. This role requires frequent collaboration with assistants from other departments to ensure effective schedule planning and adjustments. The successful candidate will manage a high volume of confidential correspondence and requests from both internal and external stakeholders, demonstrating the ability to prioritize tasks and meet deadlines despite frequent interruptions. The position also involves providing administrative support to executives, utilizing business software applications to prepare correspondence, reports, presentations, and meeting agendas. The individual will screen and direct incoming calls, visitors, mail, and email, manage the executive's calendar, meetings, travel, correspondence, and budget, and serve as an informal resource for colleagues. The role may also include maintaining an internal website and engaging with social media as needed.

Responsibilities

  • Serve as the first point of contact for the IU Indianapolis office for guests, visitors, IU staff, and outside partners for meetings and events.
  • Manage scheduling and logistics for the VPRCOE including calendaring, locations, and hospitality items.
  • Perform administrative duties such as managing office supplies, filing, financial documentation, and general office organization.
  • Support various projects within the office and multi-campus projects.
  • Act as a liaison with the VPRCOE and regional campuses, coordinating meeting logistics and hospitality requests.
  • Coordinate with assistants from other departments for schedule planning and adjustments.
  • Manage a high volume of confidential correspondence and requests from internal and external stakeholders.
  • Independently manage priorities and tasks, ensuring deadlines are met despite frequent interruptions.
  • Coordinate with the Assistant to the Vice President for Regional Campuses and Online Education and serve as the backup to the Assistant.
  • Utilize business software applications to prepare correspondence, reports, presentations, agendas, and minutes.

Requirements

  • High school diploma or equivalent (such as HSED or GED) required; Bachelor's degree preferred.
  • 4 years of relevant experience required.
