About the position

Allied National Services is seeking a reliable Executive Administrative Assistant to join our dynamic team. This full-time, non-exempt position is designed for a self-starter who thrives in a high-growth environment and possesses excellent communication and organizational skills. The Executive Administrative Assistant will play a crucial role in supporting the Directors and Upper Management by providing comprehensive administrative assistance. The ideal candidate will be passionate about people and will work collaboratively within a team environment to ensure the smooth operation of administrative functions. In this role, the Executive Administrative Assistant will be responsible for maintaining files and records in accordance with legal requirements and company policies. The position requires responding to various forms of communication, including mail, phone calls, and emails, to provide necessary support. The assistant will also create and prepare basic data reports and scorecards using Excel and other systems, ensuring that all information is accurate and up-to-date. Additionally, the Executive Administrative Assistant will assist with the development of presentations for senior leadership, which includes preparing presentation materials such as data analysis and key results. The role also involves supporting the Allied team with training programs, including attendance tracking, preparation for new hire classes, scheduling training sessions, and maintaining training documents. The candidate will be expected to identify opportunities for improving productivity and efficiency and participate in special projects and taskforces as assigned.

Responsibilities

  • Provide overall general administrative support
  • Maintain files and records in accordance with legal requirements and Company policies and procedures
  • Directly assist Directors & Upper Management with various administrative tasks and projects
  • Respond to mail, phone calls, or emails requesting support
  • Create and prepare basic data reports and scorecard using Excel and system
  • Assist with answering department related inquiries regarding policies, procedures and benefits programs
  • Build relationships with key partners, both internally and externally
  • Assist with the development of presentations for senior leadership, including presentation materials such as data analysis and key results
  • Support the Allied team with all training programs, attendance tracking, preparation for new hire classes, scheduling training classes, updating the training portal and maintenance of training documents
  • Identify opportunities for improving productivity and efficiency
  • Participate in special projects and taskforces, as assigned

Requirements

  • Undergraduate degree and/or minimum of two to three years providing office services in a corporate environment
  • Extensive computer skills in Microsoft Word, Excel, PowerPoint, and Outlook
  • Strong communication skills with a focus on asking questions and listening to understand
  • Excellent time management, organization and prioritization skills
  • Process-oriented and desire to follow processes to ensure accuracy and compliance
