About the position

The Executive Administrative Assistant will perform a variety of administrative and clerical tasks to support the efficient and smooth day-to-day operations of the office. This role involves managing general administrative activities, assisting other employees, and ensuring effective communication within the office.

Responsibilities

  • Answers all incoming calls and handles caller's inquiries.
  • Concise and accurate message taking is a must.
  • Answers all incoming text messages, WhatsApp, Microsoft Teams, and organizes emails.
  • Develops familiarity with the individuals for whom calls are answered.
  • Keeps the office calendar up-to-date with appointments, deadlines, and client access to the accounting firm's portal.
  • Assists with financial statement and tax return assembly.
  • Performs extensive data entry and handling.

Requirements

  • Strong knowledge of MS Office applications is preferred.
  • Knowledge of QuickBooks and general bookkeeping experience would be helpful but is not necessary.
  • Ability to multi-task efficiently and accurately.
  • Must be able to work with confidential documents and information.
  • Excellent verbal and written communication skills.
  • Ability to work independently on assigned tasks as well as to accept direction on given assignments.
  • Must exhibit a professional appearance.
  • Attendance and attention to detail are paramount.

Nice-to-haves

  • Administrative Assistant: 2 years (Preferred)
  • Some college education (Preferred)
