About the position

The Executive Administrative Assistant at Atlas Van Lines provides high-level administrative support to the President, COO, and other senior leaders. This role is crucial for managing executive schedules, coordinating events, and ensuring smooth communication within the executive team. The position emphasizes service excellence and organizational skills to facilitate the operations of the leadership team effectively.

Responsibilities

  • Supports the President & COO of Atlas Van Lines and other senior leaders.
  • Provides administrative support for Atlas World-Class Travel.
  • Serves as the primary back-up for the Senior Executive Administrative Assistant.
  • Manages and maintains executive schedules, including travel arrangements and meetings.
  • Prepares and processes invoices, reports, memos, letters, financial statements, and presentations.
  • Reviews and prioritizes incoming communications, distributing them accordingly.
  • Collaborates with the administrative team to communicate role expectations and provide training.
  • Approves attendance and time-off requests for Atlas Logistics Management and Senior Leadership through ADP.
  • Greets and manages visitors for corporate events and unscheduled visits.
  • Ensures the Executive Suite, Teleconference Room, and Boardroom are well-maintained and supplied.
  • Coordinates and organizes corporate luncheons for the leadership team.
  • Provides ad hoc project support as needed.

Requirements

  • High School diploma and/or GED is required; Associates degree preferred.
  • 3+ years of job-related experience supporting C level executives or equivalent education and experience.
  • Proven experience in executive-level administrative support.
  • Strong organizational and communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
  • Ability to handle sensitive information with discretion.
  • Experience with ADP or similar HR management software is preferred.
  • Strong interpersonal skills to interact effectively with senior leadership and visitors.
