Farmers Union Industries, LLC, also known as FUI, is a leading agricultural-based manufacturing company headquartered in Redwood Falls, MN. Our current operations include Central Bi-Products, Northland Choice, Midwest Grease, Artex Manufacturing, Redwood Farms Meat Processors, and Performance Pet Products. The Executive Support Specialist position is a vital role within our Corporate Office, providing essential support to the President/CEO and the Executive Team. This position is designed for individuals who thrive in a fast-paced environment and are committed to maintaining the highest level of confidentiality and professionalism. The Executive Support Specialist will be responsible for managing the CEO's calendar, prioritizing meetings, and proactively addressing scheduling conflicts. This role also involves assisting the Executive Team with various projects and events, ensuring that all tasks align with the values and business strategy of Farmers Union Industries. In addition to calendar management, the Executive Support Specialist will arrange detailed travel plans and itineraries for the CEO and Executive Team, track executive expenses, and compose correspondence in a timely manner. The role requires a detail-oriented individual who can efficiently manage correspondence, including emails and phone calls, while providing high-level support to the Director and Executive Teams. The position also includes general accounting support, such as account reconciliation and accounts payable, contributing to the overall efficiency of the office. The ideal candidate will possess strong organizational skills, advanced communication abilities, and a proactive approach to problem-solving, ensuring that the Executive Team can focus on strategic initiatives and community relations.

Responsibilities

  • Maintain the highest level of confidentiality and professionalism.
  • Support and promote a positive work environment and continuous improvement culture.
  • Manage and maintain the CEO's calendar and prioritize meetings.
  • Assist the Executive Team with projects and scheduling of events.
  • Arrange detailed plans and itineraries for travel and conferences for the CEO and Executive Team.
  • Track executive credit card expenses and complete expense reports.
  • Compose correspondence in a timely manner, including editing and proofing documents.
  • Assist in the creation and editing of various documents, presentations, and speaking points.
  • Assist with Board of Governors duties.
  • Provide the CEO with necessary background materials for meetings.
  • Prioritize tasks, monitor deadlines, and manage workload effectively.
  • Manage correspondence, including emails, letters, and memos, with discretion.
  • Welcome visitors and direct them to appropriate personnel.
  • Answer and redirect phone calls professionally.
  • Provide high-level support to the Director and Executive Teams with administrative tasks.
  • Provide general accounting support, including account reconciliation and accounts payable.
  • Manage ordering and stocking of office supplies while adhering to cost controls.

Requirements

  • Associates degree preferred or comparable education and/or experience.
  • 3-5 years of executive support experience in a corporate setting preferred.
  • 1-2 years of accounting, finance, or business-related experience; 3+ years preferred.
  • Knowledge of office administration, clerical, and recordkeeping processes.
  • Proficient in Microsoft Office Suite - Word, Excel, and Outlook; experience with ERP software preferred.
  • Demonstrates excellent follow-through and drives for results.
  • Detail-oriented with a high level of accuracy, discretion, and confidentiality.
  • Ability to problem-solve using critical thinking and available resources.
  • Advanced written and verbal communication skills with professionalism and patience.
  • Strong self-discipline and motivation; shows initiative and accountability.
