About the position

The Executive Administrative Assistant position at Kenneth D. Eichner, P.C. is a full-time role located at 11490 Westheimer Road, Houston, TX. Additionally, the position includes in-house litigation support, collections, skip tracing, and monitoring the collection of lawsuits, as well as conducting minor legal research. The Executive Administrative Assistant will also assist outside attorneys with filing lawsuits and preparing legal documents, support management and staff on project-based work, and handle filing and other administrative tasks as needed. The role requires a proactive individual who can research, price, and purchase supplies, coordinate office orientation for new hires, report information to credit bureaus, and aid in designing the company's newsletters. The candidate will also be responsible for maintaining the firm's webpage and advertisements, and possibly entering payments and payables using QuickBooks. This position is integral to the smooth operation of the firm and requires a high level of organization, communication skills, and the ability to multitask effectively. Responsibilities

  • Meet and greet clients

Requirements

  • Minimum of three years administrative/clerical experience
  • Excellent verbal and written communication and grammar skills
  • Strong time-management skills and ability to multi-task
  • Proficient in organizing tasks effectively
  • Must be proficient in using MS Office and Windows Files Explorer
  • Ability to learn new software quickly
  • Associate's degree or better preferred
  • Ability to speak Spanish is a plus
  • Paralegal experience is a plus
  • Proficiency in Timeslips, Ecco Pro and/or QuickBooks is a plus
  • Keyboard requirement - minimum 55 words per minute
  • Ten Key - by touch minimum 10,000 Keystrokes per Hour
  • Willingness to undergo a background check

Nice-to-haves

  • Experience working in a CPA firm or legal firm (2 years preferred)
  • Experience using QuickBooks in business (3 years required)
  • Experience with Sage's Timeslips billing software (2 years preferred)
  • Experience as an Office Administrator (3 years required)
  • Experience in client debt collection (2 years required)
  • Fluency in Spanish (preferred)
