As a Part-Time Executive Administrative Assistant at Shearer's, you will play a crucial role in providing comprehensive administrative and operational support to three members of our Executive Team. This position requires a high degree of flexibility and exceptional organizational skills, enabling you to thrive in a dynamic work environment. The ideal candidate will possess a strong sense of initiative, allowing them to take ownership of processes and build effective partnerships within the organization. We are seeking a proactive individual who can not only provide support but also demonstrate a strong sense of teamwork and urgency in their work. Your responsibilities will include complex calendar management for 1-4 executives, which involves scheduling across various time zones. You will also manage individual and group travel requirements for both domestic and international locations, ensuring all logistics are handled efficiently. Event planning will be a significant part of your role, as you will coordinate meetings, annual business reviews, off-site events, and other external-facing gatherings. Additionally, you will be responsible for setting up conference call meetings, managing expenses and budgets, and maintaining organizational charts. You will also assist in developing and updating PowerPoint presentations, ensuring that all materials are polished and professional. To succeed in this role, you should have at least 3 years of experience assisting multiple executives in a corporate environment, with a focus on complex calendar management, meeting coordination, travel coordination, and event planning. Experience in project management or project coordination is also essential, as you will be involved in goal tracking, reporting, space planning, budgeting, and process improvement. Familiarity with event planning is a plus. You should be tech-savvy and comfortable with various technologies, particularly the Microsoft Office Suite, including Outlook, Excel, OneNote, PowerPoint, SharePoint, and Word, with expert-level proficiency in Outlook and calendaring.
