The Executive Administrative Assistant performs a wide variety of complex, responsible, and confidential administrative duties for management personnel. The ideal candidate is very detail-oriented and views their work as their self-portrait. The Administrative Assistant exercises excellent judgment in performance of tasks that are both varied and moderately complex. We are seeking a dedicated, disciplined individual who excels in a team environment, who takes ownership and who is enthusiastic about a job well done.

Responsibilities

  • Performs general administrative functions for the department, including copying, ordering supplies and equipment, and handling vendor relationships.
  • Supports and takes direction from multiple senior leaders.
  • Coordinates management schedule and makes appointments.
  • Arranges and coordinates travel schedules and reservations.
  • Schedules and prepares for meetings, programs, events, or conferences including arrangements for location setups and catering services as appropriate.
  • Prepares agenda, handouts, documents, and/or any other information for scheduled meetings.
  • Attends meetings and records minutes of those meetings.
  • Meets and greets guests to the department, coordinates building and department tours, represents the department in a professional manner to Operations associates and to department visitors.
  • Screens incoming calls and correspondence and responds independently when possible.
  • Sorts and distributes incoming correspondence, including emails.
  • Composes and prepares confidential correspondence, reports, and other complex documents.
  • Reviews and disseminates information received from other departments and external sources.
  • Coordinates and collects responses needed from operations personnel.
  • Utilizes Microsoft PowerPoint in preparing targeted presentations as required.
  • Updates and maintains organization charts using Visio.
  • Assists with new hire onboarding and setup for operations personnel.
  • Researches, compiles, and analyzes data for special projects and various reports.
  • Performs all other duties as assigned.

Requirements

  • High school diploma and at least 5 years of experience or equivalent combination of education and experience.
  • Excellent written and oral communication skills.
  • Computer and Office Skills Microsoft Office suite including extensive experience using Excel, Word, PowerPoint, and Visio.
  • Ability to handle multiple tasks and prioritize.
  • Ability to work with little supervision but know when to ask for help.
  • Ability to maintain a positive working relationship with internal business partners and teammates.
  • Ability to take a systematic approach to organizing work.
  • Ability to independently analyze and exercise judgment while following established procedures.

Nice-to-haves

  • Bachelor's degree preferred.
  • Previous banking or operations experience preferred.
