About the position

The Executive Administrative Assistant to the Superintendent provides essential administrative support for the day-to-day operations of the department, focusing on data input, scheduling, and communications. This role is pivotal in ensuring that the Superintendent's office runs smoothly and efficiently, allowing for effective management of school operations. The position requires a proactive individual who can handle a variety of tasks, from managing calendars to maintaining databases, all while providing excellent customer service to staff, students, and parents. Resurrection Christian School (RCS) is a private, non-denominational Christian college-preparatory school located in Loveland, Colorado. Founded in 1998 by Rez.Church, RCS serves students from Pre-K through 12th grade and is the largest Christian school in Northern Colorado, with an enrollment of approximately 1,470 students for the 2024-2025 school year. The school is fully accredited by the Association of Christian Schools International (ACSI) and AdvancED, ensuring a high standard of education and operational excellence. In this role, the Executive Administrative Assistant will be responsible for a variety of essential functions, including managing communications, maintaining data, providing customer service, and overseeing office management tasks. The ideal candidate will possess strong organizational skills, the ability to manage multiple priorities, and a commitment to maintaining confidentiality in all aspects of the job. This position is integral to the success of the Superintendent's office and the overall functioning of RCS.

Responsibilities

  • Answer and screen phone calls, addressing basic related questions and forwarding callers as necessary.
  • Assist with calendar maintenance and scheduling for the Superintendent.
  • Prepare and coordinate materials for weekly cabinet and monthly board meetings.
  • Create and distribute communications to staff, students, and parents/guardians.
  • Input, manage, and maintain the student/family database.
  • Maintain teacher attendance and absence database.
  • Assist with recruitment of staff by managing applications and resumes.
  • Request and record background checks for new employees.
  • Process certification reporting for the State of Colorado and ACSI.
  • Assist with the Foreign Exchange Student program requirements.

Requirements

  • High School diploma or equivalent is required.
  • Two to three years of related experience is preferred.
  • Experience with Microsoft Office (Word, PowerPoint, Excel), Google Sheets, and database software is preferred.
  • Excellent planning skills and highly organized with attention to detail.
  • Ability to manage multiple projects simultaneously and adapt to changing environments.
  • Strong interpersonal, organizational, networking, facilitation, and management skills.

Nice-to-haves

  • Experience working with high school students.
  • Basic math skills.
  • Knowledge of the rules and regulations set forth by the Colorado Board of Education and ACSI.
