About the position

We are seeking a competent and highly organized individual to join our team as an Executive Administrative Assistant/Customer Service representative. In this role, you will provide personalized secretarial and administrative support to ensure the smooth operation of our busy medical supply company. Responsibilities

  • Provide comprehensive administrative support, including managing schedules, coordinating meetings, and handling correspondence.
  • Assist with customer service duties, including answering phone calls, responding to inquiries, and providing product information.
  • Maintain accurate records and documentation, both physical and electronic, to ensure efficient information management.
  • Process orders and invoices accurately and in a timely manner.
  • Collaborate with internal teams to facilitate the ordering and delivery process of medical supplies.
  • Assist with inventory management, ensuring stock levels are maintained and orders are placed when necessary.
  • Learn and adapt quickly to new information, procedures, and software systems.
  • Perform general office tasks, such as filing, scanning, and organizing documents.

Requirements

  • Proven experience in an administrative or customer service role, preferably in the medical supply or healthcare industry.
  • Excellent organizational and time management skills to effectively prioritize tasks and meet deadlines.
  • Strong attention to detail and accuracy in data entry and record-keeping.
  • Proficient in using computer software and applications, including Microsoft Office Suite (Word, Excel, Outlook) and ability to learn new medical record systems.
  • Ability to handle confidential information with discretion and professionalism.
  • Exceptional communication skills, both written and verbal, to interact effectively with customers, suppliers, and internal team members.
  • Ability to multi-task and remain calm under pressure in a fast-paced environment.

Nice-to-haves

  • Familiarity with Brightree, medical equipment, and/or medical billing is a plus.
