About the position

We are seeking a highly organized and proactive Executive Administrative Assistant to provide comprehensive administrative support to our executive team. The ideal candidate will possess strong clerical skills, exceptional attention to detail, and the ability to handle a variety of tasks efficiently. This role is crucial in ensuring the smooth operation of the executive office and requires a candidate who can manage multiple responsibilities with professionalism and discretion. In this position, you will be responsible for managing executive calendars and appointments, utilizing tools such as Google Suite and Outlook Calendar to ensure optimal scheduling. You will coordinate meetings, conferences, and travel arrangements, ensuring that all logistics are handled seamlessly. Additionally, you will perform various clerical duties, including typing, data entry, and transcribing meeting minutes, which are essential for maintaining accurate records. As the first point of contact for visitors, you will greet guests and manage the front desk with professionalism. You will also assist in preparing reports, presentations, and correspondence, requiring a keen eye for detail and the ability to proofread documents for accuracy and completeness. Conducting research and compiling data as needed will also be part of your responsibilities, along with maintaining office supplies inventory and placing orders when necessary.

Responsibilities

  • Manage executive calendars and appointments using Google Suite and Outlook Calendar.

Requirements

  • Proven experience as an administrative assistant.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Suite.
  • Strong computer literacy with the ability to learn new software quickly.
  • Excellent communication skills, both written and verbal.
  • Exceptional organizational skills with the ability to prioritize tasks effectively.
  • High level of discretion when handling confidential information.

Nice-to-haves

  • Experience with Microsoft Excel (1 year preferred).
  • Experience with Microsoft PowerPoint (1 year preferred).
  • Ability to commute to Tustin, CA (preferred).
  • Willingness to relocate to Tustin, CA before starting work (preferred).
