About the position

The Lyon College School of Dental Medicine welcomes applications from exceptional candidates for a full-time administrative assistant position. This position provides high-level administrative support to the dean and associate deans and serves as a vital link within the college community. This role requires a proactive, organized, and detail-oriented individual who can manage multiple tasks and communicate effectively with various stakeholders.

Responsibilities

  • Manage the deans' calendars, scheduling meetings and prioritizing appointments.
  • Prepare and edit correspondence, reports, and presentations.
  • Organize and maintain files, records, and documents, ensuring confidentiality and accessibility.
  • Serve as the primary point of contact for internal and external inquiries, representing the office professionally.
  • Coordinate logistics for meetings, including agendas, materials, set-up, and follow-up.
  • Assist in planning and executing college events, including faculty meetings, community outreach, and special programs.
  • Manage event logistics such as venue selection, catering, and technology needs.
  • Support special projects and initiatives as assigned, conducting research and compiling data as necessary.
  • Track project timelines and ensure deadlines are met.
  • Assist in monitoring the budget for the office, processing invoices, and maintaining financial records.
  • Prepare expense reports and reconcile financial documents.
  • Work closely with other administrative staff, faculty, and departments to facilitate smooth operations.
  • Foster a collaborative environment, contributing to team objectives and morale.
  • Other duties as assigned.

Requirements

  • Bachelor's degree required.
  • Minimum of 3 years of administrative support experience, preferably in a college or university setting.
  • Strong organizational skills with an ability to prioritize and manage multiple tasks.
  • Excellent verbal and written communication skills.
  • Ability to maintain confidentiality and exercise discretion.
  • Strong interpersonal skills and a commitment to fostering an inclusive environment.
  • Ability to communicate and work well with faculty/staff/students.
  • Physical ability to sit for extended periods of time (i.e. computer).
  • Physical ability to use the telephone to conduct business.
  • Physical ability to stand and to lift moderate weight.

Nice-to-haves

  • Supervisory and clinical leadership skills and experience.
  • Public speaking skills.
  • Familiarity with HIPAA, FERPA, OSHA, and laws/regulations pertaining to the practice of dentistry in Arkansas.
