About the position

The Executive Administrative Assistant will support the CEO of DFWPMA Physicians Medical Associates by managing a variety of administrative tasks, including scheduling, project management, and communication with stakeholders. This role requires a high level of professionalism, confidentiality, and the ability to work in a fast-paced environment while maintaining flexibility and efficiency.

Responsibilities

  • Assist the CEO in meetings, appointments, and project-based tasks.
  • Manage multiple administrative projects simultaneously while practicing high-level confidentiality.
  • Heavy calendar management, including organizing and scheduling Board Meetings and Earnings calls.
  • Prepare presentation materials using PowerPoint and other software as necessary.
  • Proactively update the CEO's social media profiles and assist the CFO with social media engagement.
  • Attend all MSO Board and Company Meetings, providing agendas and taking thorough meeting notes.
  • Schedule and book travel for the CEO, including trips to various clinic locations as needed.
  • Interact professionally with staff at all levels and maintain communication with investors and other external parties.

Requirements

  • 2+ years of experience supporting executives in an assistant role.
  • Strong knowledge of MS PowerPoint, Excel, Outlook, and Word.
  • Excellent calendar management skills, including coordination of complex executive meetings.
  • Superior written and verbal communication skills.
  • Proven critical thinking, decision-making, and time management skills.
  • Proficient use of office computers and Microsoft Office software.
  • Excellent organizational and analytical skills.

Nice-to-haves

  • Experience successfully creating and/or modifying processes preferred.
  • Bachelor's degree or higher preferred (or equivalent work experience).
