About the position

We are seeking a highly organized and proactive Executive Administrative Assistant to provide comprehensive support to our executive team. The ideal candidate will possess strong clerical skills and be adept at managing multiple priorities in a fast-paced environment. This role requires excellent communication skills, attention to detail, and the ability to maintain confidentiality while handling sensitive information.

Responsibilities

  • Provide executive administrative support, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Perform data entry and maintain accurate records for various projects and initiatives.
  • Handle phone systems with professionalism, ensuring effective communication with internal and external stakeholders.
  • Assist in project coordination by tracking deadlines, preparing reports, and facilitating communication between team members.
  • Prepare and edit correspondence, presentations, and other documents as needed.
  • Manage clerical tasks such as filing, organizing documents, and maintaining office supplies.
  • Utilize QuickBooks for basic financial record keeping and reporting as required.
  • Demonstrate strong phone etiquette while responding to inquiries and directing calls appropriately.

Requirements

  • Proven experience in an administrative role, particularly in providing executive administrative support.
  • Strong data entry skills with a high level of accuracy.
  • Proficiency in calendar management and scheduling tools.
  • Familiarity with phone systems and professional phone etiquette.
  • Experience with QuickBooks is a plus but not mandatory.
  • Excellent organizational skills with the ability to prioritize tasks effectively.
  • Strong written and verbal communication skills.
  • Ability to work independently as well as collaboratively within a team environment.
  • High level of discretion when handling confidential information.
