About the position

The Executive Administrative Assistant plays a vital role in supporting the executive team by ensuring the smooth operation of daily activities. This position requires a highly organized and proactive individual who can manage various administrative tasks, project coordination, and customer service responsibilities while demonstrating proficiency in relevant software applications.

Responsibilities

  • Provide comprehensive administrative support to executives, including managing schedules, coordinating meetings, and handling correspondence.
  • Proofread documents for accuracy and clarity, ensuring all communications are professional and error-free.
  • Assist with project coordination by tracking timelines, deadlines, and deliverables.
  • Manage phone systems efficiently, including answering calls, directing inquiries, and taking messages as needed.
  • Transcribe meeting notes and other documents accurately to maintain clear records of discussions and decisions.
  • Maintain organized filing systems for both physical and digital documents to ensure easy access to information.
  • Provide exceptional customer service by addressing inquiries and resolving issues promptly.
  • Collaborate with team members on various administrative tasks to enhance overall productivity.
  • Willing to travel with the executive team as needed.

Requirements

  • Proven experience as an administrative assistant or in a similar clerical role.
  • Proficiency in Microsoft Word, Excel, Google Suite (Docs, Sheets, Calendar) and other relevant software applications.
  • Strong proofreading skills with keen attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple tasks simultaneously while maintaining a high level of organization.
  • Experience with project coordination is preferred but not mandatory.
  • A customer-oriented mindset with the ability to handle inquiries professionally.
  • Familiarity with phone systems and basic office equipment is advantageous.
