About the position

The Executive Administrative Assistant (EAA) at Modern Technology Solutions, Inc. (MTSI) plays a crucial role in supporting the SES 2 executive by managing various administrative functions essential for the efficient operation of the office. This position requires a proactive individual capable of managing time effectively, handling confidential information with discretion, and demonstrating strong organizational and communication skills. The EAA serves as a key liaison between the SES 2 executive, staff, stakeholders, and the public, contributing to the overall success of the organization.

Responsibilities

  • Primary point of contact for government leads' calendars, daily schedule, email, and cadence on multiple networks, both unclassified and classified.
  • Integral member of the program's Front Office Group (FOG), handling daily correspondence with various organizations and stakeholders.
  • Track Integrated Product Team (IPT) manning and prepare organizational charts.
  • Perform data entry functions, integrating information into required reports and presentation materials.
  • Generate and maintain training requirements, files, forms, and established file plans (both paper and electronic).
  • Prepare correspondence per standard Government formats, managing facsimile, printing, copying equipment, and ordering supplies.
  • Assist with writing monthly activity reports.
  • Support in the preparation of award write-ups and submission packages in various required formats.
  • Assist in the planning, preparation, editing, creation, and publication of finished products, including program documentation, plans, directives, reports, briefings, and other presentations.
  • Assist in the establishment, implementation, and maintenance of Operating Instructions (OIs), including the creation and maintenance of branch documentation.

Requirements

  • Strong organizational and communication skills.
  • Ability to manage time effectively and handle confidential information with discretion.
  • Experience in administrative support roles, preferably in a fast-paced environment.

Nice-to-haves

  • Experience with government formats and documentation.
  • Familiarity with classified and unclassified information handling.
