About the position

Volt is immediately hiring an Executive Administrative Assistant in Fountain Valley, CA, to support the CEO/President with all administrative duties. This role serves as a critical bridge for smooth communication between the President and CEO's office and internal departments, demonstrating leadership to maintain credibility, trust, and support with senior management staff. The Executive Assistant will work closely and effectively with the President and CEO to keep them well informed of commitments and responsibilities, following up appropriately. This position acts as a 'barometer,' having a sense for the issues taking place in the environment and keeping the President updated on relevant matters. The Executive Assistant will successfully complete critical aspects of deliverables with a hands-on approach, including drafting acknowledgment letters, personal correspondence, and other tasks that facilitate the President/CEO's ability to effectively lead the company. This role requires prioritizing conflicting needs, handling matters expeditiously, proactively, and following through on projects to successful completion, often under deadline pressures. The Executive Assistant will communicate directly, and on behalf of the President and CEO, with Board members, donors, Foundation staff, and others, on matters related to the President/CEO's programmatic initiatives. Additionally, the Executive Assistant will research, prioritize, and follow up on issues and concerns addressed to the President/CEO, including those of a sensitive or confidential nature, determining the appropriate course of action, referral, or response. This position also involves editing and completing first drafts for written communications to external stakeholders, serving as a back-up project manager with the corporate strategy team, and coordinating timelines and milestones for activities, meetings, and presentations that involve Strategic Initiatives. The Executive Assistant will assist in coordinating the agenda of senior management team meetings and off-sites, as well as all-staff meetings, including but not limited to sister companies and Canada business initiatives. Furthermore, this role facilitates cross-divisional coordination of travel and outreach plans, ensuring the successful execution of large-scale projects or assuming a Stakeholding role to support the President/CEO's initiatives. This is a full-time opportunity, with the position being a 12-month temporary role that has strong potential to transition to a permanent position for the right candidate. The working hours are Monday to Friday from 8 AM to 5 PM, and the position is hybrid, requiring the candidate to work 3 days onsite and 2 days remote.

Requirements

  • 3 - 5 years of experience with C level executive assistant experience.
  • Proficient in the use of Microsoft Word, Excel, PowerPoint, Outlook, Autoway, AS400.
  • Excellent oral and written communication skills.
  • Organized and detail-oriented.
  • Ability to work with a variety of personalities.
