Start working the way you have imagined with a top manufacturer! Volt is immediately hiring an Executive Assistant in Fountain Valley, CA. As an Executive Assistant, you will support the CEO/President with all administrative duties. This role provides a bridge for smooth communication between the President and CEO's office and internal departments, demonstrating leadership to maintain credibility, trust, and support with senior management staff. You will work closely and effectively with the President and CEO to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately. In this position, you will act as a "barometer," having a sense for the issues taking place in the environment and keeping the President updated. You will successfully complete critical aspects of deliverables with a hands-on approach, including drafting acknowledgment letters, personal correspondence, and other tasks that facilitate the President/CEO's ability to effectively lead the company. You will prioritize conflicting needs, handle matters expeditiously, proactively, and follow through on projects to successful completion, often with deadline pressures. You will communicate directly, and on behalf of the President and CEO, with Board members, donors, Foundation staff, and others, on matters related to the President/CEO's programmatic initiatives. Additionally, you will research, prioritize, and follow up on incoming issues and concerns addressed to the President/CEO, including those of a sensitive or confidential nature, determining the appropriate course of action, referral, or response. You will also edit and complete first drafts for written communications to external stakeholders. As a back-up project manager with the corporate strategy team, you will coordinate timelines and milestones for activities, meetings, and presentations that involve Strategic Initiatives. You will assist in coordinating the agenda of senior management team meetings and off-sites, and all-staff meetings, including but not limited to sister-companies and Canada business initiatives. Furthermore, you will facilitate cross-divisional coordination of travel and outreach plans that include execution of large-scale projects or assuming a Stakeholding role to ensure the President/CEO's initiatives are successfully executed. This is a full-time opportunity, position is 12 months temp, with strong potential to go temp to hire for the right person. The hours are Monday - Friday 8am - 5pm, and this is a hybrid role, requiring someone who can work 3 days onsite and 2 days remote.

Requirements

  • 3 - 5 years of experience with C level executive assistant experience.
  • Proficient in the use of Microsoft Word, Excel, PowerPoint, Outlook, Autoway, AS400.
  • Excellent oral and written communication skills.
  • Organized and detail-oriented.
  • Ability to work with a variety of personalities.
