About the position

The Executive Administrative Assistant position at Serco North America involves providing high-level administrative support to the Submarine/Maritime Industrial Base Directors in PEO SSBN. This role is crucial in assisting senior personnel with various administrative functions related to the support of the Maritime Industrial Base, which oversees the construction and maintenance of submarines for the U.S. Navy. The position requires strong organizational skills, proficiency in Microsoft Office, and the ability to manage multiple tasks in a fast-paced environment. It is a hybrid role, partially remote, and requires obtaining a Secret clearance.

Responsibilities

  • Organize and manage office operations and procedures, including scheduling, correspondence, filing, and data entry.
  • Prepare, proofread, and edit documents, presentations, and reports to support business processes and project objectives.
  • Schedule and coordinate meetings, including preparing agendas, taking minutes, and tracking action items.
  • Arrange travel logistics and process travel expense reports, ensuring adherence to company policies.
  • Act as a point of contact for internal and external communications, handling inquiries and directing calls.
  • Provide administrative support to various projects, maintaining project documentation and tracking progress.
  • Maintain accurate records and databases, ensuring data integrity and confidentiality.
  • Manage office supplies inventory, ensuring availability of necessary materials.

Requirements

  • High School Diploma or GED required.
  • Minimum of two years of experience in an administrative support role, preferably in a government or defense-related environment.
  • Strong organizational, communication, and multitasking skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and as part of a team.
  • Ability to obtain a DoD Secret Level Security Clearance.
  • Experience in supporting Navy or DoD-related programs is preferred.
  • Familiarity with government contracting processes is a plus.
  • Knowledge of document management systems is beneficial.

Nice-to-haves

  • Active NMCI account and CAC (Common Access Card) are a plus.
