About the position

The Executive Administrative Assistant at Colorado Recovery Solutions plays a crucial role in providing comprehensive support to the Leadership Team. This position is designed for a highly organized and proactive individual who can manage executive calendars, coordinate meetings, and handle confidential information with professionalism. The assistant will also oversee vendor relationships and basic IT functions, ensuring smooth day-to-day operations and effective support for executive functions.

Responsibilities

  • Manage calendars, appointments, and meetings for executives, including scheduling, confirming, and preparing agendas.
  • Serve as a point of contact between the executive team and internal/external stakeholders.
  • Assist with preparation for meetings, including compiling reports, presentations, and documents.
  • Attend and take minutes at executive meetings, ensuring follow-up on action items.
  • Oversee relationships with office vendors, ensuring contract compliance and cost efficiency.
  • Coordinate with external service providers, including office supply vendors, IT support, and other contractors.
  • Negotiate vendor contracts and maintain updated records of agreements, service levels, and performance reviews.
  • Act as the point of contact for basic IT issues and troubleshooting for the executive team and office staff.
  • Coordinate with external IT service providers for system maintenance, upgrades, and support.
  • Handle executive correspondence, including drafting, editing, and reviewing emails and documents.
  • Maintain and organize electronic and physical files, ensuring secure storage of confidential materials.
  • Assist with project management tasks, tracking timelines, deliverables, and responsibilities for various executive-led initiatives.
  • Monitor and process expenses, reimbursements, and invoices for the executive team.
  • Assist in the preparation of documents, reports, and presentations as required.
  • Oversee office operations in support of executives, ensuring office supplies and resources are stocked and available.
  • Collaborate with other administrative staff to ensure smooth workflow and communication across departments.
  • Assist with the organization and planning of company events, meetings, and special projects.
  • Act as the liaison between the executive team and CRS staff, ensuring timely and effective communication of leadership priorities.
  • Handle sensitive information with the utmost confidentiality, maintaining discretion in all communications and document handling.

Requirements

  • High school diploma, GED, or equivalent.
  • 1+ years experience providing administrative support to executive-level leadership.
  • Proficient in the use of Word, Excel, and PowerPoint.

Nice-to-haves

  • Bachelor's degree in Business Administration, Communications, or a related field.
  • Familiarity with the behavioral health or healthcare industry.
  • Proficiency in Google Workspace (Docs, Sheets, Sites, Chats, Spaces) is strongly preferred.
  • Military Veteran status, military spouse, or previous work in military/government helping agencies or underserved populations.
