About the position

The Executive Administrative Assistant at Memorial Community Hospital provides high-level administrative support to the Senior Leadership Team and the organization. This role is crucial for managing executive calendars, coordinating meetings, and overseeing various projects to ensure smooth operations across the hospital. The position requires a professional demeanor, exceptional customer service skills, and the ability to handle sensitive information with confidentiality.

Responsibilities

  • Manage executive calendars and coordinate meetings for the Senior Leadership Team.
  • Prepare agendas and collect documentation for Board of Directors and Management Team meetings.
  • Maintain confidentiality in all aspects of sensitive information.
  • Track workflow and committee decisions, ensuring timely completion of paperwork and follow-ups.
  • Compose and respond to correspondence, memos, and inquiries independently.
  • Arrange travel for Senior Leadership Team members.
  • Assist with coordinating employee recognition programs and special events.
  • Oversee the contract management system and digital signature system.
  • Handle administrative tasks such as filing and managing incoming mail.

Requirements

  • High school diploma or equivalent required; college degree preferred.
  • Minimum of three years of administrative/secretarial experience required.
  • Experience in a healthcare or hospital setting preferred.
  • Licensed Notary Public or must obtain upon hire.
  • Proficient in Microsoft Office applications.
