About the position

The Executive Administrative Coordinator / Board Secretary at The Arc of the Quad Cities Area plays a vital role in supporting the President and CEO by managing administrative tasks, organizing corporate files, and coordinating board meetings and special events. This position requires a blend of organizational skills, interpersonal abilities, and attention to detail to ensure smooth operations within the agency.

Responsibilities

  • Manage a filing system for the President, CEO, and the agency.
  • Maintain a manual of original Arc Policies and Procedures and notify staff of updates.
  • Organize corporate, property, and legal files.
  • Draft, type, file, and distribute documents for the President, CEO, and others.
  • Provide confidential assistance to the President and CEO, managing their calendar.
  • Help prepare special events and coordinate board meetings, retreats, and recognition events.
  • Maintain a database of relevant contacts.
  • Participate in the employee recognition committee and coordinate the employee newsletter, Around the Arc.
  • Direct calls and emails to appropriate staff.
  • Manage agency accounts for software and purchasing across multiple departments.
