About the position

The Executive Administrative Assistant (EAA) at Modern Technology Solutions, Inc. (MTSI) plays a crucial role in supporting the SES 2 executive by managing various administrative functions essential for the efficient operation of the office. This position requires a proactive individual capable of handling confidential information, demonstrating strong organizational and communication skills, and serving as a key liaison between the executive, staff, stakeholders, and the public.

Responsibilities

  • Primary point of contact for government leads' calendars, daily schedules, and emails on multiple networks, both unclassified and classified.
  • Integral member of the program's Front Office Group, handling daily correspondence with various organizations and stakeholders.
  • Track Integrated Product Team (IPT) manning and prepare organizational charts.
  • Perform data entry functions, integrating information into required reports and presentation materials.
  • Generate and maintain training requirements, files, forms, and established file plans (both paper and electronic).
  • Prepare correspondence per standard Government formats, manage facsimile, printing, and copying equipment, and order supplies and equipment.
  • Assist with writing monthly activity reports and preparing award submission packages.
  • Support in the planning, preparation, editing, creation, and publication of program documentation, plans, directives, reports, and presentations.
  • Assist in establishing, implementing, and maintaining Operating Instructions (OIs) and branch documentation.
  • Verify checklists against current administrative processes and maintain a tracking system for deficiencies.
  • Order office supplies and prepare itemized lists for procurement by the Government office.
  • Serve as the focal point for collecting and displaying materials for staff meetings and information exchange meetings.
  • Act as the single point to receive, coordinate, disseminate, track progress, and close all taskers coming to the division or branch.
  • Lead the administrative operation of events, including logistics and attendee management.
  • Complete travel approval requests and submit vouchers using the Defense Travel System (DTS).
  • Manage files and demonstrate the ability to multitask efficiently.

Requirements

  • 6+ years of administrative experience, with at least 2 years supporting executive-level personnel in a government or corporate environment.
  • Bachelor's degree.
  • Must possess a Top Secret security clearance with SCI eligibility.
  • Experience operating in secure environments (SCIF, SAPF).
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), scheduling software, and virtual collaboration tools.
  • Excellent verbal and written communication abilities with keen attention to detail.
  • Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
  • Ability to work collaboratively with diverse teams, stakeholders, and the public.
  • U.S. Citizenship is required.

Nice-to-haves

  • Recent experience operating in SAPF or SCI spaces on associated classified networks.
  • Experience with SharePoint and Atlassian tool suite.
