The Tax team is seeking an Executive Administrative Assistant to support the Vice President of Tax and the extended group. This role requires a highly self-motivated individual who can handle multiple organizational needs and priorities in a calm, professional, confidential, and confident manner. The successful candidate will be a team player, eager to support and back up other administrative assistants within the Tax organization. The Executive Administrative Assistant will perform a variety of administrative routines, including creating slide presentations, managing general correspondence, coordinating calendars, booking travel, preparing expense reports, and organizing meetings. The role also involves handling departmental mail and miscellaneous projects as needed. The candidate will be responsible for creating and formatting documents such as correspondence, presentations, memos, and reports from rough drafts, ensuring accuracy in grammar, punctuation, and spelling. In addition to routine administrative tasks, the assistant will manage sensitive and confidential information, provide support for compliance-related filings, and assist with the creation and tracking of Purchase Orders and invoices. The role includes managing maintenance and facility requests and coordinating events for various internal and external stakeholders. The ideal candidate will possess strong organizational and interpersonal skills, a professional demeanor, and the ability to work with high-profile individuals both internally and externally.

Responsibilities

  • Perform administrative routines including slide presentations, general correspondence, calendar coordination, booking travel, preparing expense reports, coordinating meetings, departmental mail, and miscellaneous projects as needed.
  • Create and format documents such as correspondence, presentations, memos, and reports from rough drafts, ensuring accuracy in grammar, punctuation, and spelling.
  • Handle sensitive and confidential information routinely.
  • Provide support for various compliance required filings including Secretary of State Annual Report filings and submitting requests for IRS Form W-9s and W-8s.
  • Create and maintain org chart and Tax Subscriptions budget.
  • Support the creation and tracking of Purchase Orders and spend, including payment and tracking of invoices.
  • Manage maintenance/facility requests for the area of support.
  • Provide support to the extended Tax team for time off and Out of Office Schedule, including WorkForce entry.
  • Act in a relief capacity for other administrative support.
  • Coordinate events on and off-site for various internal and external stakeholders.

Requirements

  • High School Diploma or GED required.
  • Associate degree or equivalent in business administration or related field preferred.
  • Minimum of 5 years of administrative assistant experience.
  • Experience supporting a high-level leader or multiple leaders preferred.
  • Proficiency in Microsoft Word, PowerPoint, Excel, and SAP required.
  • Possesses organizational/prioritizing, attention to detail, communication, customer service, and analytical skills.
  • Strong interpersonal skills with a preference for collaboration and proven success working with others.
  • Professional demeanor with excellent work ethic and the ability to follow policies and procedures while seeking continuous improvement.
  • Exceptional grammar and written communication skills.
  • Capacity to handle significant responsibilities with minimal supervision.
