About the position

Parker Aerospace is seeking an Executive Administrative Assistant who will play a crucial role in supporting the general manager or higher-level executives with a variety of administrative and project-oriented duties. This position requires a high level of confidentiality, independent judgment, and familiarity with applicable procedures. The Executive Administrative Assistant will be responsible for managing complex tasks that require coordination and follow-through, ensuring that the executives can focus on strategic initiatives without being bogged down by administrative details. In this role, the Executive Administrative Assistant will efficiently operate personal computers and other office equipment to perform a wide range of tasks. This includes entering and manipulating data on spreadsheets and databases, proactively identifying needs, and initiating administrative projects. The assistant will interface effectively with team members, functional departments, and customers, ensuring smooth communication and collaboration across the organization. Additionally, the role involves delegating portions of assignments and providing support to others as needed. The Executive Administrative Assistant will also be responsible for collecting data, conducting research, and compiling information, which may involve mathematical calculations. Proofreading and correcting errors in documents will be a regular task, as will managing correspondence and screening calls. The assistant will closely monitor the executive's calendar, make appointments, and arrange complex domestic and international travel. Coordination of meetings, both in-house and off-site, will also be a key responsibility, including making arrangements for travel, accommodations, and meals. The ideal candidate will have a strong background in administrative support, with a demonstrated ability to handle multiple tasks and changing priorities. They will be expected to contribute to lean initiatives and apply lean concepts in their work area, all while adhering to company policies and maintaining a highly organized work environment. This position is essential for ensuring that the executive team operates efficiently and effectively, allowing them to focus on their core responsibilities.

Responsibilities

  • Efficiently operate personal computer and other office automated equipment to perform administrative tasks.
  • Enter and manipulate data on spreadsheet, database, or file management programs.
  • Proactively identify needs and initiate administrative projects, establishing priorities and procedures.
  • Interface effectively with team members, functional departments, and customers.
  • Delegate portions of assignments and offer support and assistance to others as required.
  • Collect data, conduct research, and compile information using various mathematical calculations.
  • Proofread and correct grammatical, typographical, compositional, or data errors.
  • Read mail, highlight action or important items, and attach relevant files or information before distributing.
  • Ascertain which items are to be delegated and follow up for timely responses.
  • Respond to correspondence and screen calls, addressing inquiries from all levels of employees and external contacts.
  • Closely monitor calendar and make appointments as required, including complex domestic and international travel arrangements.
  • Process and file various company-required forms and reports, such as expense reports and cash disbursement requests.
  • Coordinate with internal and external executive-level staff to schedule in-house and off-site meetings, including travel and hotel accommodations.
  • Actively contribute to lean initiatives by identifying and providing suggestions on areas for improvement.
  • Observe all company policies and procedures, including safety rules, and maintain a highly organized work environment.
  • Perform other related responsibilities as requested.

Requirements

  • Four or more years of related experience as an executive administrative assistant.
  • Excellent communication, interpersonal, organizational, and written skills.
  • Strong computer skills with proficiency in Microsoft Word, Excel, PowerPoint, and Lotus Notes.
  • Ability to work independently with general direction and instruction regarding assignments.
  • Ability to handle multiple tasks with changing priorities and exceptional attention to detail.
  • Open to assuming greater responsibilities as needed.
  • Ability to work effectively with others and be a participative team player.
