Responsibilities

  • Provide general administrative support to a department or group of professionals.
  • Compile and analyze basic information for reports or presentation materials.
  • Prepare charts, graphs, or tables as necessary.
  • Receive and respond to routine correspondence following established procedures.
  • Exercise independent judgment and employ basic reasoning skills.
  • Use designated software packages including word processing, spreadsheet, database management, and presentation software.
  • Assist employers by performing secretarial and administrative tasks.
  • Handle a high volume of detailed work.
  • Compile, analyze, and reconcile reports.
  • Prepare and verify weekly, monthly, quarterly, and annual reports such as indexes, budgets, and inventories.
  • Organize employer's appointment schedule.
  • Maintain business records and files.
  • Open and sort incoming mail and prepare replies or direct mail to employers for reply.
  • Arrange conferences and travel accommodations.
  • Handle purchase orders, payments of bills, and expense vouchers.
  • Work with confidential materials, personnel records, payroll, and salary data.
  • Prepare letters, memos, invoices, manuscripts, and other business documents as directed.

Requirements

  • 10+ years of experience in administrative support roles.
  • Ability to exercise independent judgment and employ basic reasoning skills.
  • Proficiency in word processing, spreadsheet, database management, and presentation software.
  • Minimum typing speed of 60 wpm; speedwriting or shorthand may be required.
  • Experience handling confidential materials and personnel records.
