About the position

My Investments Matter is seeking a proactive and highly organized Executive Administrative Assistant to support Chris Silva, our company's CEO. As the right-hand person to Chris, you will play a crucial role in building out positions, organizing the office, managing schedules, and facilitating communication between various teams and leaders. This position is essential for ensuring that the CEO's time is managed effectively and that all necessary tasks are completed in a timely manner. In this role, you will act as the primary point of contact for Chris Silva, managing his calendar, scheduling meetings, and ensuring timely responses to emails. You will coordinate and prioritize daily tasks, meetings, and appointments for Chris, providing detailed briefs and summaries as needed. Additionally, you will assist in developing companies acquired by investors, including organizing resources, facilitating communication, and tracking progress towards strategic goals. Handling both personal and company-related tasks for Chris will require maintaining confidentiality and professionalism at all times. Collaboration is key in this position, as you will work with other team leaders to relay messages, delegate tasks, and build cohesive strategies to achieve company objectives. You will proactively identify business opportunities and contribute to the development of new positions and initiatives to strengthen the company's market position. Your insights and recommendations will support informed decision-making as you assist in forecasting business opportunities and trends. Participation in daily meetings with Chris to review schedules, recap previous meetings, and strategize on upcoming projects and goals will also be part of your responsibilities. As the gatekeeper for Chris, you will manage incoming communications, screen calls, and represent him in a professional manner.

Requirements

  • Proven experience as an executive assistant or similar role, preferably in a fast-paced environment.
  • Exceptional organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Strong communication and interpersonal abilities, with a high level of professionalism and discretion.
  • Proficiency in calendar management, email correspondence, and office software (e.g., Microsoft Office Suite, Google Workspace, Google Drive, Computer Programs, Loom, GHL).
  • Ability to work autonomously and take initiative while also being an effective team player.
  • Strategic mindset with a knack for problem-solving and identifying business opportunities.
  • Flexibility and adaptability to navigate evolving priorities and dynamic work environments.
  • Required to build out, map, create systems and process for all positions, new and already existing.
