About the position

The Executive Administrative Assistant at The Tatitlek Corporation provides essential administrative support to the INSCOM staff, ensuring that all operational needs are met efficiently and effectively. This role is critical in maintaining the flow of communication and coordination among various personnel and action officers, particularly in relation to travel and administrative program functions. The position is governed by the Service Contract Act (SCA), which outlines the responsibilities and expectations for employees in this role. In this capacity, the Executive Administrative Assistant will be proficient in utilizing the Defense Travel System to manage travel arrangements, including coordinating agendas and itineraries with headquarters staff and travel sites. The assistant will also be responsible for ensuring compliance with INSCOM and HQDA administrative guidelines, which involves performing a variety of office tasks such as reviewing, editing, and routing correspondence, as well as managing incoming mail and documentation requests from external audit organizations. The role requires the preparation of various forms of correspondence in accordance with Army Regulation 25-50, maintaining organized filing systems, and tracking the status of incoming suspense items. Additionally, the assistant will schedule conference rooms, prepare meeting materials, and assist with the logistics of meetings, including setup and cleanup. Managing office supply requests and maintaining the status of supply orders are also key responsibilities, along with managing select staff members' calendars and making travel arrangements. Overall, this position demands a high level of organization, attention to detail, and the ability to communicate effectively with various stakeholders within the organization.

Responsibilities

  • Provide administrative support to INSCOM staff.
  • Utilize the Defense Travel System for travel arrangements.
  • Coordinate agenda items and itineraries with headquarters staff and travel sites.
  • Ensure compliance with INSCOM and HQDA administrative guidelines.
  • Perform general office, administrative, personnel, and receptionist functions.
  • Review, edit, revise, log, route, track, and update correspondence.
  • Prepare correspondence in accordance with Army Regulation 25-50.
  • Schedule conference rooms and notify attendees of meetings.
  • Prepare meeting materials including flyers, slides, and agendas.
  • Assist in the setup and cleanup of meeting spaces.
  • Compile office supply requests and maintain supply order statuses.
  • Manage select staff members' calendars and schedule appointments.

Requirements

  • Must be a U.S. citizen and possess a Department of Defense Top Secret/SCI clearance with T5.
  • Bachelor's Degree or 5 years of commensurate experience.
  • 5 years' experience at the senior-level supporting high-OPTEMO, multi-faceted organizations.
  • Excellent proofreading and attention to detail skills.
  • Database entry abilities for updating existing databases.
  • Ability to interpret regulatory guidance.
  • Proficient customer service skills for responding to inquiries.
  • Excellent communication skills.
  • Strong keyboarding skills.
  • Proficient with a broad range of Microsoft Office Programs, particularly Microsoft Office 13 products.
  • Knowledge of office machines for printing, scanning, and faxing documents.
