About the position

The Executive Administrative Assistant will provide essential support to the CEO of a woman-owned company focused on helping individuals with ADHD and productivity challenges. This part-time role involves managing the CEO's schedule, organizing office operations, and ensuring smooth communication within the team. The position is crucial for enhancing productivity and maintaining an efficient work environment.

Responsibilities

  • Assist the CEO in managing her schedule, setting appointments, and keeping data organized.
  • Manage executive calendars, including scheduling appointments and coordinating meetings for other team members.
  • Ensure timely attendance to meetings while helping to prepare meeting agendas.
  • Organize and maintain office and warehouse spaces for optimal efficiency.
  • Coordinate complex schedules including setting up Zoom meetings and Google Meet.
  • Assist in the shipping department with daily order processing.
  • Utilize Microsoft Office Suite to create documents, presentations, and spreadsheets.
  • Organize emails to help the team maintain organization.
  • Help organize files on the computer for easy access to documents and information.
  • Perform data entry tasks with accuracy and efficiency.
  • Keep track of project deadlines and provide reminders to the CEO, COO, and other team members.
  • Manage multiple tasks efficiently in a fast-paced environment.
  • Perform general administrative tasks to support daily operations.
  • Anticipate needs and facilitate the CEO's productivity.

Requirements

  • Proficiency in Microsoft Office Suite (Email, Word, PowerPoint, Excel).
  • Excellent typing skills.
  • Excellent filing skills for both paper and online databases.
  • Proven experience in an administrative role, preferably supporting executive-level management.
  • Excellent organizational and multitasking skills.
  • Strong communication skills and attention to detail.
  • Ability to work independently and as part of a team.
