About the position

Cushman & Wakefield's New York Midtown office is seeking an experienced c-suite Executive Administrative Assistant to support one of our most successful commercial Executive Brokers. This position will lead all administrative and strategic initiatives and play a significant role in increasing broker productivity.

Responsibilities

  • Assist Executive Broker with managing their complex business operations to ensure administrative, financial, and operational activities are performed in a seamless and efficient manner.
  • Provide oversight and guidance, organize, and prioritize critical issues.
  • Anticipate Executive Broker, client and business needs and undertake necessary actions to produce effective results timely.
  • Manage and organize complex calendar activities such as meetings, agendas, luncheon arrangements and complex travel plans; work around scheduling conflicts while keeping Executive Broker on schedule.
  • Manage email correspondence for Executive Broker promptly. Reply where necessary, print attachments, follow up on actions, flag urgent messages.
  • Update and maintain contacts, telephone numbers and email addresses.
  • Answer and screen all incoming calls to Executive Brokers office.
  • Organize and input broker expenses and charitable contributions, track payments and allowances.
  • Support Executive Broker's community and industry activities and events.
  • Prepare, collect and maintain information for the preparation of confidential reports, proposals, and other materials.
  • Create and maintain up-to-date Admin Support Guide to be used in the event of absence.
  • Ensure that education, credentials and licensing of staff is current.
  • Greet and direct all visitors.
  • Provide support in both professional and personal capacities as needed.

Requirements

  • 10+ years of executive administrative experience supporting corporate c-suite professional/s, real estate background preferred.
  • Bachelor's degree required.
  • Required to be in office a minimum of 2 days per week.
