About the position

The Remote Executive Administrative Assistant & Documentation Specialist will provide essential administrative support to ensure smooth client management and assist the CEO in maximizing efficiency. This part-time, contract position is ideal for someone who thrives in a flexible and dynamic environment, coordinating client resources and handling documentation effectively.

Responsibilities

  • Assist with client coordination, including managing resources, referrals, and communication (phone, email, and text).
  • Schedule client appointments and ensure timely follow-up as needed.
  • Manage the CEO's bookings, including podcasts and both free and paid speaking engagements.
  • Oversee the client portal messaging system, ensuring all communication is responded to promptly and professionally.
  • Ensure documentation is completed prior to the client's first appointment and assist new clients virtually with portal setup.
  • Meet virtually with new clients to guide them through initial documentation and system navigation.
  • Schedule and attend meetings with the CEO 1-2 times every week to discuss practice needs, gaps, and priorities.
  • Attend marketing or networking events as available and assist with event coordination and follow-ups.
  • Perform additional duties as assigned by the CEO or COO.

Requirements

  • Strong organizational and communication skills, with attention to detail.
  • Ability to work independently while managing multiple tasks and deadlines.
  • Must have access to high-speed internet, your own laptop, and smartphone.
  • Flexibility to adjust your schedule to meet the needs of the practice.
  • Prior experience in administrative roles, client-facing tasks, or documentation is a plus.
