Volt is immediately hiring an Executive Administrative Assistant in Fountain Valley, CA, to support the CEO/President with all administrative duties. This role is crucial in providing a bridge for smooth communication between the President and CEO's office and internal departments, demonstrating leadership to maintain credibility, trust, and support with senior management staff. The Executive Assistant will work closely and effectively with the President and CEO to keep them well informed of commitments and responsibilities, following up appropriately. This position acts as a 'barometer,' having a sense for the issues taking place in the environment and keeping the President updated on critical matters. The Executive Assistant will successfully complete critical aspects of deliverables with a hands-on approach, including drafting acknowledgment letters, personal correspondence, and other tasks that facilitate the President/CEO's ability to effectively lead the company. This role requires prioritizing conflicting needs, handling matters expeditiously, proactively, and following through on projects to successful completion, often under deadline pressures. The Executive Assistant will communicate directly, and on behalf of the President and CEO, with Board members, donors, Foundation staff, and others on matters related to the President/CEO's programmatic initiatives. Additionally, the Executive Assistant will research, prioritize, and follow up on incoming issues and concerns addressed to the President/CEO, including those of a sensitive or confidential nature. They will determine the appropriate course of action, referral, or response, and edit and complete first drafts for written communications to external stakeholders. The role also includes serving as a back-up project manager with the corporate strategy team, coordinating timelines and milestones for activities, meetings, and presentations that involve Strategic Initiatives. The Executive Assistant will assist in coordinating the agenda of senior management team meetings and off-sites, as well as all-staff meetings, including but not limited to sister companies and Canada business initiatives. They will facilitate cross-divisional coordination of travel and outreach plans that include the execution of large-scale projects or assuming a Stakeholding role to ensure the President/CEO's initiatives are successfully executed. This is a full-time opportunity, with the position being 12 months temp, with strong potential to go temp to hire for the right person. The hours are Monday - Friday, 8 am - 5 pm, and this is a hybrid role requiring someone who can work 3 days onsite and 2 days remote.
