About the position

The Executive Administrative Assistant at Cardinal Health plays a crucial role in supporting multiple leaders by managing their day-to-day office activities. This position involves scheduling, travel arrangements, and maintaining confidentiality while representing the company and senior leaders through effective communication. The assistant will work closely with the VP of Quality Management and provide support to three Vice President level leaders, ensuring smooth administrative operations within the organization.

Responsibilities

  • Maintain VP calendars, including management of daily schedules and coordinating multiple executive schedules.
  • Maintain confidentiality of executive communication, projects, and work.
  • Coordinate travel arrangements for conferences and meetings, including booking flights, hotels, and car rentals.
  • Prepare and submit expense reports for executive staff members and review expense reports as an executive delegate.
  • Coordinate department leadership meetings and arrange catering and transportation as needed.
  • Create, edit, and proofread Microsoft PowerPoint, Excel, and Word documents and presentations.
  • Maintain team organization charts and screen incoming calls/inquiries.
  • Provide other administrative support duties as assigned.

Requirements

  • 6-8+ years of executive administrative assistant experience preferred.
  • High School Diploma or Bachelor's preferred, or equivalent combination of education and professional experience.
  • Self-directed with problem-solving abilities and creative solutions.
  • Proficient verbal and written communication skills.
  • Proven experience and ability to multitask effectively.
  • Experience planning small- and large-scale meetings including catering and transportation arrangements.
  • Ability to work proactively and adapt quickly in a fast-paced environment.
  • Ability to interface with employees at all organizational levels, especially VP+ level.
  • Strong time management and prioritization skills; detail-oriented and able to maintain confidentiality.
  • Proficient in Microsoft Office programs and Outlook.

Nice-to-haves

  • Experience with Microsoft Teams for managing shared documents.
  • Ability to work extended hours when required.
  • Experience in a similar industry or corporate environment.
