About the position

The Executive Administrative Assistant at AK Law Firm will provide high-level administrative support to the Chief Human Resources Officer (CHRO) and assist in various HR functions. This role is crucial for maintaining efficient office operations and ensuring effective communication within the firm. The ideal candidate will be organized, detail-oriented, and capable of managing multiple tasks under tight deadlines while maintaining professionalism in all interactions.

Responsibilities

  • Provide administrative support as the CHRO's personal assistant.
  • Assist in the onboarding of new employees and training coordination.
  • Maintain employee records and serve as front desk backup to Legal Secretary.
  • Assist with payroll and prepare reports for various agencies.
  • Draft letters, memos, invoices, reports, and other documents for the HR department.
  • Schedule and attend meetings on behalf of the CHRO, taking notes and recording minutes.
  • Perform office tasks including maintaining records, ordering supplies, and basic bookkeeping.
  • Organize and prioritize multiple tasks under strict time constraints.
  • Answer and transfer telephone calls, taking accurate messages.
  • Manage daily correspondence and filing; maintain an electronic and/or hard-copy document filing system.
  • Sort and scan incoming mail to client files and route documentation as necessary.
  • Safeguard confidential and sensitive company and personal information.
  • Identify and work to improve internal processes and develop Firm policies as needed.
  • Review and edit client-related documentation and maintain filing procedures.
  • Assist with other projects as needed and complete assignments with little supervision.

Requirements

  • High school diploma required; bachelor's degree in business administration or related field preferred.
  • At least 4 years of related experience required.
  • Strong grammatical and proofreading skills.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Solid experience making contacts of a sensitive, complex, and confidential nature.
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Proficient with Microsoft Office Suite or similar software.

Nice-to-haves

  • Experience working in a law firm environment.
  • Certified Notary Public.
