About the position

The Executive Administrative Assistant at Opaa! is a vital role that provides comprehensive support to the Executive Team, ensuring that all administrative functions are executed efficiently and effectively. In this position, the Executive Administrative Assistant will be responsible for managing executive schedules, maintaining contract files, and preparing various forms of correspondence, including reports, memos, and proposals. The assistant will also assist with travel arrangements for executive management personnel and will be tasked with scheduling appointments and managing meeting schedules for executives and upper management. Additionally, the role involves receiving and screening phone calls, directing them to the appropriate parties, and supporting event and meeting planning activities both in the office and offsite. The ideal candidate will possess strong communication skills, both written and oral, and will be able to interact effectively with all levels of the organization. This position requires a detail-oriented individual who can handle confidential information appropriately and work with a high degree of accuracy. The Executive Administrative Assistant will also be expected to perform additional duties as assigned, contributing to the overall success of the executive team and the organization as a whole.

Responsibilities

  • Maintain positive attitude and receive guests with dignity and respect.
  • Manage and maintain executive schedules.
  • Maintain contract files and account databases.
  • Prepare reports, memos, letters, proposals, or other correspondence, as requested.
  • Assist executive management personnel with travel arrangements.
  • Schedule appointments and manage meeting schedules of executives and upper management.
  • Receive and screen phone calls and direct calls to the appropriate party.
  • Support event/meeting planning activities, both in the office and offsite.
  • Collect and distribute mail.
  • Perform additional duties as assigned.

Requirements

  • High School Diploma; Associate's Degree preferred.
  • Minimum of two years of experience in a similar position required.
  • Good general working knowledge of office systems and protocol.
  • Ability to handle confidential information appropriately.
  • Detail-oriented with a high degree of accuracy.
  • Highly organized and flexible.
  • Strong ability to integrate and communicate effectively, orally or in writing, with all levels of the organization.
  • Ability to write business correspondence and memos.
  • Strong follow-up skills and good problem-solving abilities.
  • Ability to multi-task and deal with various personalities.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Ability to work independently, as well as in a team environment.
  • Proficient in the use of Microsoft Office (Word, Excel, Outlook, and PowerPoint).
  • Must be able to attend annual training event.
