About the position

The Executive Administrative Assistant at Diversus Health Inc. plays a crucial role in supporting C-level executives and the executive office team. This position involves a wide range of administrative tasks aimed at ensuring the smooth operation of the executive office. The Executive Administrative Assistant will be responsible for managing the daily agendas of up to three C-suite executives, prioritizing appointments, and adjusting schedules as necessary. This role requires a high level of confidentiality, professionalism, and the ability to anticipate the needs of the executives effectively. In addition to calendar management, the Executive Administrative Assistant will handle email correspondence for the executives, identifying key issues and proposing solutions. The role also includes attending and supporting C-suite level meetings, preparing meeting agendas, taking minutes, and distributing materials. The assistant will serve as a liaison between the executives and their direct reports, as well as external agencies, ensuring effective communication and coordination. The position requires proactive engagement in various projects and initiatives, including organizing travel and conference activities, managing supplies, and overseeing timecard submissions for employees under the executives' supervision. The Executive Administrative Assistant will also be responsible for celebrating special occasions for the executives' direct reports, demonstrating a commitment to fostering a positive work environment. This role is essential for maintaining operational efficiency within the executive office and requires a blend of technical skills, independent problem-solving abilities, and a high degree of professionalism.

Responsibilities

  • Manage daily agendas and prioritize appointments for C-suite executives.
  • Handle email correspondence and anticipate the needs of executives.
  • Attend and support C-suite level meetings, including Board and Committee meetings.
  • Prepare meeting agendas, take minutes, and distribute meeting materials.
  • Assist with special projects and initiatives as assigned by executives or the Executive Office Administrator.
  • Serve as a liaison between C-suite executives and direct reports, as well as external agencies.
  • Organize travel and conference activities for C-suite executives, including reservations and logistics.
  • Coordinate regular and special meetings, managing catering and room preparations.
  • Order, track, and process supplies for the executive office.
  • Oversee submission and processing of timecards and leave requests for employees under direct supervision.

Requirements

  • High school diploma or equivalent; Bachelor's degree preferred.
  • Five years of professional, senior-level administrative support experience, with two years at the C-suite level.
  • Strong verbal and written communication skills.
  • Proficient in Microsoft Office 365 and other computer skills.
  • Excellent organizational and customer service skills.
  • Ability to perform duties with high accuracy in a fast-paced environment.
