About the position

The Executive Administrator for Global HR at Visa is responsible for providing comprehensive administrative support to a senior member of the People Team. This role requires a proactive individual who can anticipate the needs of a busy executive and manage various administrative tasks efficiently. The position involves scheduling, travel management, event planning, and document preparation, all while serving as an ambassador for Visa and the People team.

Responsibilities

  • Perform administrative support duties including drafting correspondence and preparing meeting materials.
  • Manage scheduling of staff and individual meetings, teleconferences, and team off-sites.
  • Expertly manage travel bookings and submission of expense reports.
  • Plan events including facilities coordination and catering.
  • Prepare documents in Word, Excel, and PowerPoint.
  • Assist in onboarding new staff and manage distribution lists.
  • Set up and manage team schedules for command center and support coverage.
  • Track and send reminders for training/events/compliance tasks.
  • Attend meetings to capture notes and actions.
  • Organize training for both groups and individuals.

Requirements

  • High School diploma or equivalent or relevant work experience.
  • 2 or more years of work experience supporting senior leaders in a dynamic environment.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Strong organizational skills and ability to handle multiple tasks.
  • Excellent communication and interpersonal skills.
  • Ability to manage complex calendars across multiple time zones.
  • Expertise in travel management and expense management.
