About the position

The Executive Administrator/Personal Assistant will provide comprehensive administrative support to the executive team at AIM Services, Inc. This role is crucial for ensuring smooth daily operations and effective communication within the organization. The ideal candidate will be highly organized, proactive, and possess strong problem-solving skills, contributing to the overall efficiency of the executive team.

Responsibilities

  • Manage executive calendars, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and organize materials for meetings, including agendas, minutes, and presentations.
  • Serve as a liaison between executives and internal/external stakeholders, ensuring timely communication.
  • Handle confidential information with discretion and integrity.
  • Assist in the preparation of reports, presentations, and other documents as needed.
  • Maintain organized filing systems, both physical and digital.
  • Support project management by tracking deadlines and deliverables.
  • Coordinate office logistics, including supplies and equipment management.
  • Perform general administrative tasks, such as managing correspondence and processing expenses.

Requirements

  • Bachelor's degree or equivalent experience in business administration or related field.
  • Proven experience as an executive administrator or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple tasks and prioritize effectively.
  • Strong interpersonal skills and the ability to work well in a team environment.
  • Experience in a fast-paced corporate environment is a plus.
