About the position

The Executive Administrator position at INSURICA, Inc. provides essential administrative support to executive officers, focusing on achieving agency, budget, and productivity goals. This role encompasses project management, coordination of meetings and conferences, analytical review of reports, and various administrative functions to ensure smooth operations within the executive management team.

Responsibilities

  • Provide general administrative support for the executive management team.
  • Coordinate with Executive admin staff to manage corporate mail and maintain corporate files.
  • Support project management activities including remodeling and strategy transitions.
  • Prepare letters, reports, memos, and presentations for the executive management team.
  • Coordinate transient business travel arrangements for executive management.
  • Maintain and schedule executive management calendars.
  • Record and forward accurate verbal or written messages.
  • Anticipate and coordinate catering needs for meetings and events.
  • Plan and implement seminars, meetings, and conferences, including venue research and budget planning.
  • Direct virtual meetings on various platforms.
  • Coordinate special event planning such as Holiday Dinners and Board meetings.
  • Participate in merger and acquisition planning and due diligence coordination.
  • Prepare and analyze Key Performance Indicator (KPI) reports and other Excel/PowerPoint projects.

Requirements

  • 3-5 years of corporate/executive administrative experience preferred.
  • Bachelor's degree in Business Administration preferred.
  • Proven experience managing multiple calendars and planning executive meetings.
  • Excellent PC skills with advanced knowledge of MS Office (Word, Excel, Outlook, Teams, PowerPoint).
  • Ability to communicate effectively, both verbally and in writing.
  • Strong attention to detail and ability to manage multiple projects simultaneously.

  • Professional administrative designation is desirable.
  • Insurance knowledge is desirable.
