About the position

The Executive Administrator plays a vital role in ensuring the smooth operation of daily activities and providing administrative support that enhances productivity at TERRA, a retail boutique located in the Huntington Shopping Center. This part-time position involves assisting the CEO with both business and personal operations, maintaining clerical and financial records, and managing routine office operations. The ideal candidate will demonstrate exceptional office management skills and the ability to multitask while maintaining professionalism.

Responsibilities

  • Manage office operations, including scheduling meetings, maintaining calendars, and ordering office supplies.
  • Perform data entry tasks and maintain accurate filing systems.
  • Support financial operations through QuickBooks for basic bookkeeping tasks.
  • Assist with scheduling business and personal appointments.
  • Handle correspondence, including emails, phone calls, and mail.
  • Manage phone systems, including answering calls professionally, taking messages, and responding to vendors and clients.
  • Utilize computer literacy skills to operate various software applications.
  • Collaborate with team members on various projects as needed.

Requirements

  • Proven experience in office management or administrative roles is preferred.
  • Strong proficiency in data entry with attention to detail and accuracy.
  • Excellent proofreading skills with the ability to spot errors in documents quickly.
  • Familiarity with DocuSign or similar electronic signature platforms.
  • Experience in project coordination or management is desirable.
  • Exceptional customer service skills with a friendly demeanor.
  • Ability to work independently as well as part of a team in a dynamic environment.

Nice-to-haves

  • Experience with office equipment including printers and scanners, as well as Mac and PC software applications.
  • Excellent communication skills, both verbal and written, are necessary for effective collaboration.
