About the position

The Executive and Personal Assistant (EA/PA) to the CEO is a critical role designed to support a busy CEO in managing both professional and personal tasks. This position requires a highly organized individual who can efficiently handle calendar management, operations support, and event planning, while ensuring that the CEO's schedule flows seamlessly. The role is based in Orange County, CA, with responsibilities that may involve floating between the CEO's offices and private households, and includes some hybrid work arrangements.

Responsibilities

  • Meticulous calendar management, acting as the gatekeeper of the Principal's time.
  • Streamlining day-to-day operations by identifying and implementing process improvements.
  • Expertly managing calendar, email, and general management tasks to ensure timely responses and organized documents.
  • Reviewing documents thoroughly, managing meeting minutes, and ensuring invoices are paid on time.
  • Using software to simplify workflows and optimize time management.
  • Creating and maintaining databases for partners, prospects, events, and solutions.
  • Coordinating household staff and arranging travel bookings, leveraging memberships, and finding cost-saving solutions.
  • Organizing business retreats and villa accommodations, managing all associated logistics.

Requirements

  • Minimum of 5 years of PA/EA experience, with at least 3 years of longevity in similar roles.
  • Strong attention to detail and excellent organizational skills.
  • Experience in operations support and problem-solving, with the ability to implement solutions that improve efficiency.
  • Confident in creating and maintaining structured databases for contacts, partners, and events.
  • Excellent communication skills, capable of liaising effectively with a variety of stakeholders.

Nice-to-haves

  • Experience with event planning and travel logistics is highly beneficial.
  • Ability to handle a fast-paced virtual environment with discretion and confidentiality.

Benefits
