About the position

As the Executive and Personal Assistant to the CEO at Wilshire Law Firm, you will play a crucial role in supporting our Founding President and CEO, Bobby Saadian. This position is designed for a highly organized and detail-oriented individual who can manage high-level administrative and logistical tasks to alleviate the executive's workload. Your primary responsibility will be to conserve the CEO's time by efficiently managing correspondence, scheduling, and various administrative duties. You will be expected to draft letters and documents, collect and analyze information, and initiate telecommunications as needed. In this role, you will maintain the CEO's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel arrangements. You will also prepare reports by gathering and analyzing information, processing requests from records, emails, and other documents, and summarizing information when necessary. Responding to administrative inquiries and coordinating meetings with specific agendas will be part of your daily tasks. A positive, team-oriented attitude is essential as you will be working in our West Los Angeles office, contributing to a collaborative environment. The ideal candidate will possess strong emotional intelligence, a calming demeanor, and superior verbal and written communication skills. Proficiency in Microsoft 365 and excellent organizational skills are required to ensure that all tasks are completed efficiently and accurately. A bachelor's degree in a relevant field is mandatory, and an advanced degree is considered a significant advantage. You should have at least five years of executive assistant experience, including managing multiple calendars and booking travel and hospitality reservations. Typing at least 40 words per minute is also a requirement for this position.

Responsibilities

  • Conserve CEO's time by reading, researching, and routing correspondence.
  • Draft letters and documents, collect and analyze information, and initiate telecommunications.
  • Maintain CEO's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Prepare reports by collecting and analyzing information.
  • Process information as requested from records, email, and other related documents and summarize when needed.
  • Respond to and resolve administrative inquiries and questions.
  • Coordinate and schedule meetings and appointments with specific agendas.

Requirements

  • Bachelor's degree in a relevant field is required; advanced degree is a huge plus.
  • At least five years of executive assistant experience.
  • Strong command of the logistics of office workflow.
  • Ability to maintain confidentiality.
  • Strong emotional intelligence and calming demeanor.
  • Superior verbal and written communication skills.
  • Proficient in Microsoft 365.
  • Excellent organizational skills and attention to detail.
  • Experience managing multiple calendars.
  • Experience booking travel and hospitality reservations via concierge services.
  • Must type at least 40 words per minute.
