About the position

The Executive & Personal Assistant at Manor Hill Advisors is a pivotal role that encompasses a wide range of administrative tasks aimed at providing comprehensive support to executives while ensuring the highest level of confidentiality. This position requires a proactive individual who can manage various responsibilities efficiently and effectively. The assistant will be responsible for handling incoming calls, maintaining a detailed call log, and taking messages as necessary. Additionally, the role involves setting and confirming meetings, which requires excellent organizational skills and the ability to interact with both internal departments and external clients seamlessly. Travel arrangements are a significant part of this role, including booking travel and preparing expense reports. The assistant will also manage the full life cycle of ticket counts, contract administration, and database management, ensuring that all company databases are maintained and updated regularly. Furthermore, the assistant will be tasked with maintaining client files and documents, which necessitates a high level of attention to detail and confidentiality. The position may also include additional tasks and responsibilities as assigned, making adaptability and a willingness to take on new challenges essential traits for the ideal candidate.

Responsibilities

  • Roll calls and screen all incoming calls.
  • Maintain call log and take detailed messages/notes.
  • Set and confirm meetings.
  • Interact with internal departments and external clients as necessary.
  • Book travel and complete expense reports.
  • Manage the full life cycle of ticket counts, contract administration, and database management.
  • Maintain and update company databases.
  • Maintain client files and documents as needed.
  • Perform additional tasks and responsibilities as assigned.

Requirements

  • Strong communication skills via phone, email, and in-person.
  • Excellent organizational skills with an ability to think proactively and prioritize work.
  • Prior experience in an Executive & Personal Assistant role is necessary.
  • High level of interpersonal skills to handle varied personalities and sensitive situations.
  • Demonstrated poise, tact, and confidentiality.
  • Excellent attention to detail and ability to prioritize and meet deadlines.
  • Computer literacy is a must.
